When to send a late-rent reminder

A late-rent reminder is the friendly first step when rent is overdue. Sending one promptly — a day or two after the due date — often clears up a simple oversight without souring the relationship or starting a formal process. Keep it factual and courteous: state the amount, the period it covers, and how to pay. If the reminder doesn't produce payment, the formal next step is the N4.

Ontario landlords cannot charge late fees

This is the big difference from the US letter templates that dominate search results: under Ontario's Residential Tenancies Act, a landlord cannot charge late fees, penalties, or interest on overdue rent. The only related charge you can recover is an NSF (bounced-payment) fee your bank actually charged, plus a small reasonable administration fee. A reminder letter that demands a late fee is not just unenforceable — it can undermine your credibility if the matter reaches the Landlord and Tenant Board. This template intentionally charges none.

What to include

  • The rental unit address and the tenant's name(s)
  • The exact amount overdue and the rent period it covers
  • A clear, polite request for payment and how to pay
  • An offer to discuss if the tenant is having difficulty
  • A note that this is a reminder, not a legal notice — the N4 comes next if unpaid

If the rent stays unpaid: the N4

A reminder letter has no legal force. If the rent isn't paid, the formal step under Ontario law is to serve an N4 notice, which gives the tenant a set number of days to pay or move out.
